Terms and Conditions

1. Acceptance of Terms

By accessing or using invantech.ca, purchasing tickets, registering for events, sponsoring, exhibiting, or attending any InVanTech Association event, you agree to be bound by these Terms and Conditions.

2. About InVanTech

InVanTech Association is a registered non-profit organization dedicated to connecting and advancing British Columbia's engineering and infrastructure community through conferences, networking events, panel discussions, exhibitions, educational initiatives, and related activities.

3. Ticket Purchases

a. Pricing

Unless otherwise stated, all prices are listed in Canadian Dollars (CAD).

b. Payment

Payment must be completed in full at the time of purchase using approved payment methods.

c. Confirmation

Upon successful registration or purchase, a confirmation email will be issued and shall serve as proof of registration or admission.

d. Lost or Fraudulent Tickets

Lost, stolen, altered, duplicated, or fraudulent tickets or registrations may not be honoured. InVanTech reserves the right to deny admission in such cases.

e. Ticket Transfers

Ticket transfers may be permitted at the discretion of InVanTech and must be requested before the event date.

4. Refunds and Cancellations

a. Attendee Cancellations

Unless otherwise stated for a specific event, ticket purchases are non-refundable.

b. Event Cancellation

If an event is cancelled by InVanTech, registered participants will receive a full refund of the registration fee paid.

c. Event Changes

InVanTech reserves the right to modify event details, including dates, schedules, venues, speakers, exhibitors, programs, or activities without prior notice. Such changes shall not entitle participants to a refund except where required by applicable law.

5. Assumption of Risk and Limitation of Liability

Participation in InVanTech events is voluntary and at the attendee's own risk.

Attendees voluntarily assume all risks associated with participation, including risks of personal injury, illness, property damage, or other losses that may occur before, during, or after the event.

To the fullest extent permitted by law, InVanTech Association, its directors, officers, volunteers, sponsors, partners, speakers, exhibitors, and affiliates shall not be liable for any direct, indirect, incidental, consequential, or special damages arising from attendance at or participation in any event, except where such liability cannot be excluded by law.

6. Code of Conduct and Admission

All participants are expected to conduct themselves professionally and respectfully.

InVanTech reserves the right to refuse admission or remove any attendee, exhibitor, sponsor representative, or guest whose behaviour is deemed disruptive, inappropriate, discriminatory, threatening, unsafe, or otherwise inconsistent with the objectives of the event, without refund.

7. Compliance with Venue Rules

Attendees, exhibitors, and sponsors must comply with all applicable laws, venue policies, health and safety requirements, and reasonable instructions provided by event organizers and venue personnel.

Failure to comply may result in removal from the event without refund.

8. Health and Safety

InVanTech reserves the right to implement health and safety measures considered necessary to protect participants or required by public authorities or venue operators.

Participants agree to comply with such measures as a condition of attendance.

9. Personal Property

Participants are solely responsible for their personal belongings.

InVanTech shall not be responsible for any lost, stolen, or damaged personal property brought to the event.

10. Media Release

By attending an InVanTech event, participants acknowledge and agree that photographs, video recordings, livestreams, and other media may be captured during the event.

Participants grant InVanTech Association and its authorized representatives the irrevocable right to use, reproduce, publish, distribute, and display their image, likeness, voice, and recorded statements in any media format, worldwide and in perpetuity, for promotional, educational, archival, reporting, and marketing purposes without compensation.

11. Exhibitors and Sponsors

a. Sponsor Agreements

Specific sponsorship benefits and obligations shall be governed by separate sponsorship agreements where applicable.

b. Exhibitor Responsibilities

Exhibitors are responsible for the safety, operation, and supervision of their displays and materials.

Exhibitors must comply with venue requirements and applicable laws and are responsible for any damages arising from their exhibits, personnel, or activities.

InVanTech reserves the right to require exhibitors to modify or remove displays that are deemed unsafe, inappropriate, or inconsistent with the event's objectives.

12. Intellectual Property

All content appearing on invantech.ca, including but not limited to logos, trademarks, branding, graphics, event materials, and written content, is the property of InVanTech Association unless otherwise indicated.

No material may be copied, reproduced, distributed, or used without prior written consent.

13. Website Use

Users agree not to:

  • Use the website for unlawful purposes;
  • Interfere with or disrupt website functionality;
  • Attempt unauthorized access to any systems or data;
  • Introduce malicious software or harmful code.

InVanTech reserves the right to restrict access to users who violate these provisions.

14. Privacy

Personal information collected through registrations, subscriptions, sponsorship inquiries, or other interactions will be handled in accordance with InVanTech's Privacy Policy and applicable Canadian privacy legislation.

15. Force Majeure

InVanTech shall not be liable for any delay, modification, interruption, or cancellation of events resulting from circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, public health emergencies, government actions, labour disputes, acts of terrorism, venue closures, transportation disruptions, or other unforeseen events.

16. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the Province of British Columbia and the applicable laws of Canada.

Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of British Columbia.

17. Amendments

InVanTech reserves the right to amend these Terms and Conditions at any time.

Updated versions will be posted on invantech.ca, and continued use of the website or participation in events following such updates constitutes acceptance of the revised Terms and Conditions.
